Who can use WhatsApp

When you need this

• You want to know how many of your parents, residents or contacts can use your WhatsApp assistant.
• You are starting out and want to invite many people at once.
• Invitations have expired and you want to send new codes to everyone who hasn't used theirs.

Steps

See the counts

1. Open Settings, then WhatsApp access (under Printers & connections). A school also sees the same card under the switch at Settings, WhatsApp assistant.
2. The top card says how many people with a mobile number can use WhatsApp, for example 40 of 300 residents with a mobile number can use WhatsApp (13%).

Only people linked to a student, stand or patient, with a mobile number, are counted. At a school, only the parents who receive the invoices are counted (the people the school texts about fees): a driver or a grandparent who only collects the child isn't. The line below says how many more have no mobile number.

Invite many people at once

1. Press Not invited.
2. Under Per page, choose 100 to see more at a time.
3. Tick the people to invite, or Select all on this page.
4. Press Invite selected.
5. Invite to WhatsApp? says how many SMS messages this sends from your SMS credit. Press Invite.

Each person gets the same SMS as when you invite them one by one. Repeat for the next page.

Send new codes to expired invitations

1. Press Invited. People whose code has expired show Invitation expired.
2. Tick them, or Select all on this page. Only expired invitations can be ticked.
3. Press Resend expired.
4. Resend expired invitations?: press Resend.

People whose code still works aren't sent anything.

What you should see

• A line such as 12 sent, 3 skipped, 1 couldn't be sent. Skipped people were already invited or already use WhatsApp.
• Under it, each person who couldn't be sent an invitation, and why.
• The counts and the list update: invited people move from Not invited to Invited, and to Active once they send their code.

If something goes wrong

You see	What to do
WhatsApp invitations aren't available for your school yet. (or community, practice)	WhatsApp isn't switched on for you yet. Ask Modial.
This contact has no mobile number to invite next to a name	Add their mobile number on their page, then invite them.
Only a student's billing contacts can be invited to WhatsApp next to a name (schools)	They no longer receive invoices for any student. Switch on Receives Invoices for them on the student's Parents tab if they should.
Couldn't send it this time. Try again next to a name	Something failed for that person only. Tick them and press the button again.
… saved without an SMS: check your SMS credit, then resend.	Your SMS credit ran out part way. Top up, then resend to those people from their pages.
Every … with a mobile number has been invited	Everyone you can invite has been.
