Add a premise's opening balance

When you need this

When the estate starts on EstateKeeper, for each premise that already owed levies, or had paid ahead, in your old books. Add it before the first bill, so a resident's statement shows the full amount they owe, and their first payments go to the old debt first.

A premise can have one opening balance, added once.

Steps

  1. Open Premises in the menu and press the premise's row. Type its number in Search premises by name... to find it.
  2. Press Actions at the top of the premise's page, then Add opening balance.
  3. Opening balance: the amount as it stands in your old books, for example 1250.00. Pick Owed or In credit beside it.
  4. As at: the date of that balance in your old books. It can't be in the future.
  5. Press Add.
  6. Check the figure in Add opening balance?, for example 35820: 1250.00 owed as at 2026-10-31. An opening balance can only be added once., then press Add.

What you should see

  • Opening balance OB-… added at the top right.
  • Owed: on the premise's Invoices tab, a number starting OB-, marked Opening balance. Payments go to it before any invoice. Payments already recorded and not yet used go to it straight away.
  • In credit: on the premise's Payments tab, marked Opening credit. It is used on the premise's next invoice.

If something goes wrong

  • Add stays greyed out: type an amount and pick the As at date.
  • "The date can't be in the future.": pick today or an earlier day.
  • The premise already has an opening balance: it can't be added twice. If the first one is wrong, ask support.
  • Add opening balance isn't under Actions: your role can't change premises. Ask the estate's owner.
