Record a visit ​

When you need this ​

A visit is a gate pass: a visitor may come to a premise between a start and an end time, and the guard at the gate lets them in with its access code. Residents can book their own visitors on WhatsApp. Record one in the office when a resident asks you to, or to see who has visited a premise.

Steps ​

From the premise ​

  1. Open Premises in the menu and press the premise's row.
  2. Open the Visits tab. It lists the visits to this premise. To find one, type its code in Search by access code....
  3. Press New visit. The New visit panel opens, with the premise under its title and in Destination.
  4. Visitor (needed): type the visitor's name and pick them from the list.
  5. Person being visited (optional): type the resident's name and pick them.
  6. Vehicle registration (optional): the number plate, if they drive in.
  7. Number of people: 1 to begin with. Number of entries: Unlimited to begin with; pick Single entry or a number of entries to limit how often the pass lets them in.
  8. Purpose: Personal to begin with, or Business or Family.
  9. Start date, Start time, End date and End time: when the visitor may come. They start as today and now.
  10. Press Save visit.

From Visitors ​

  1. Open Visitors in the menu. The Visits tab lists every visit at the estate.
  2. Press New visit and fill it in as above. Here Destination is empty: type the premise's number and pick it.

What you should see ​

  • Visit saved, and the visit in the list with its Access code, Visitor, Start, End and Status.
  • The status: Active until the end time, then Expired if the visitor never came. A visitor who came in shows Checked in while they are on the estate, even after the end time, and Checked out once they have left. Cancelled if it was cancelled.
  • Press a visit to open it.

If something goes wrong ​

  • "Pick the visitor.": choose the visitor from the list under Visitor. Typing a name without picking it isn't enough.
  • The visitor isn't in the list: only visitors already in the app can be picked.
  • "No visits to this premise yet.": nobody has booked a visit to this premise.
  • New visit is missing: your role can't add visits. Ask the estate's owner.
  • A guard refused a visitor who came early: see Let visitors in early.
