Set up your levies

When you need this

A levy is one charge the estate makes: the monthly levy, refuse removal, security, a water charge, a development levy. Set up each one once, before the first bill. Levy structures, bill runs and single invoices all pick their lines from this list.

One levy is one charge, not one per kind of stand. A levy that is billed only to some premises is still one levy: who pays it is set in the levy structure, with clusters.

Steps

Add a levy

  1. Open Billing in the menu, then the Levies tab, and press New Levy.
  2. Under Product Information:
    • Name (needed): what residents will read on the invoice, for example Monthly levy.
    • Code (optional): a short code of your own, for example LEV.
    • Categories (optional): pick one or more. Categories group levies in reports.
    • Description (optional).
  3. Under Pricing, the price field: the usual amount for this levy, for example 85.00. The currency shown beside it is the estate's own. The label reads Selling Price (incl. VAT) or Selling Price (excl. VAT), depending on the estate's tax setting (see Currencies and taxes).
  4. Press Save & View to open the new levy, or Save & Add Another to clear the form for the next one.

Add a category

  1. Open Setup in the menu, then Categories.
  2. Press New Category.
  3. Name, and optionally Description. Press Submit.

Change several prices at once

Use this when levies go up.

  1. Open Billing, then the Levies tab, and press Bulk prices.
  2. Either type the new amount straight into a levy's price, or tick the levies, choose Increase or Decrease, type the amount, choose % or amount, and press Preview on N selected. Nothing is saved yet: the new prices show in the table for you to check.
  3. Press Apply N changes at the bottom, then Apply to confirm. Press Discard to throw the changes away instead.

What you should see

  • Success and Successfully saved, then the levy in the Levies list with its name and price.
  • After a bulk change, N price(s) updated, and the new prices in the list.

A levy's price is only where a levy structure or an invoice starts. Each levy structure keeps the amounts it was saved with, and invoices already made keep theirs. Changing a price here changes neither: check your levy structures before the next bill.

If something goes wrong

  • "Price is required before this item can be sold on the POS or online.": the price field is empty. Type the levy's usual amount.
  • "Name is required!": give the levy a name.
  • The same levy is listed twice: open the one you don't want and delete it, before any levy structure uses it.
  • Bulk prices: "Apply or discard your changes before switching currency or channel.": apply or discard what you have typed first.
